Training Center - User Manual

1. Logging In

  1. Go to the site's login page (any protected link redirects here) or directly to /apps/public/login/.
  2. Enter your Username and Password.
  3. Click Sign In.
  4. After signing in, you land on the member home page. A header greeting ("Hello, [Name]") and Last Login timestamp confirm you're in.
  5. Your account also has My Account (profile/password) and 2-Factor Auth (optional MFA enrollment) links next to your name.
  6. Forgot Login Credentials on the login page lets any member recover a username or reset a password by email.

Access to Training Management (the admin side) requires your account to have the Training Manager/Admin permission. If the Administration Menu or the Training Center's management links aren't visible, your account does not have that permission — contact your site administrator.

2. Member Side: Training Center

Navigate via Training Center in the main member menu, or directly to /apps/member/training/.

2.1 Training Center Home

The home page shows:

  • Your 2026 Online Training Hours — progress toward the department's annual target (e.g., "0.0 of 24.0").
  • My Presentations — your 10 most recent assigned/available presentations, with status icons (Completed/Passed, In Progress, Ready/Not Started) and a Start action.
  • My Quizzes — your 10 most recent quizzes, with status, your best Score, and a Start action.
  • My Certifications — certifications on file for you, with an Add Certification button.
  • Links to My Record (your full training transcript) and Leaderboard (department standings).

Your progress and in-progress answers save automatically, so you can leave a presentation or quiz and resume later.

2.2 Taking a Presentation

  1. From the home page or View All My Presentations, click a presentation title (or its Start button).
  2. The detail page shows the title, description, total slide count, and your current status. Click Start Presentation.
  3. The slideshow displays one slide at a time with a Next/Previous control and a running count ("Slide X of 10 — Y of 10 slides viewed"). You can also use Tab/arrow keys to navigate.
  4. You must view every slide to finish — jumping ahead (e.g., opening slide 10 directly) does not mark the skipped slides as viewed, and the Next control on the last slide is replaced with "View every slide and video to finish" until all slides have actually been seen.
  5. Slides can be images, embedded video (e.g., YouTube), PDFs, or PowerPoint pages. Embedded videos generally must be watched to count as viewed.
  6. Once every slide is viewed, the presentation is marked complete, hours are credited (per the presentation's Training Hours Credit setting), and — if enabled — a PDF completion certificate becomes available.

2.3 Taking a Quiz

  1. From the home page or View All Quizzes, click a quiz title (or Start).
  2. The quiz detail page shows total questions, whether it's graded (and the passing score), time limit, and max attempts. Click Start Quiz.
  3. Questions are presented one at a time. Question types include:
    1. Multiple Choice (radio buttons, select one)
    2. Multiple Response (checkboxes, "select all that apply" or "select N")
    3. True/False
    4. Short Answer (free text, graded manually by a training manager)
    5. Matching (match answers to a numbered image)
  4. Answer a question and click Submit Answer. If the quiz is set to show answers immediately, you'll see ✓ Correct! or ✗ Incorrect right away, along with the correct answer.
  5. Use Next/Previous, or the numbered dot navigation at the bottom (showing Answered / Not yet answered per question), to move between questions in any order. Answers save automatically as you go.
  6. Once all questions are answered, a Review Answers / Review & Submit screen lists every question's status. Important: you cannot change answers after clicking Submit Quiz. Review carefully, then click Submit Quiz to finalize and grade the attempt.
  7. Depending on the quiz's Show Results to Member setting, you'll see per-question feedback as you go, a full answer key after submission, or just your final score.
  8. If Max Attempts allows more than one try, you can retake the quiz from its detail page; your best score is what's shown department-wide.
  9. Any Short Answer questions are queued for a training manager to grade before your final score is posted.

2.4 My Record

My Record (linked from the Training Center home) shows your personal transcript:

  • Presentations completed, with completion date and hours earned
  • Quiz attempts, with attempt number, score, pass/fail result, and date
  • Certifications on file, with status, issue/expiration dates, and certificate number
  • Export to Excel / Export to PDF buttons to download your record

2.5 Leaderboard

Leaderboard shows department-wide standings for the current training year: each member's rank, a progress bar, and total hours earned. Standings reset every January 1. Hours come from completed presentations and passed quizzes, using each item's assigned hour credit.

2.6 Submitting a Certification

From My Certifications → Add Certification:

  1. Choose your certification from the dropdown list of standard certifications (EMT levels, Firefighter I/II/III, Fire Officer I–IV, Instructor I–IV, Hazmat, Incident Commander, degrees, etc.), or select Other (not listed) and type a custom name.
  2. Enter the Issue Date (required), Expiry Date (leave blank if it doesn't expire), and Cert Number from your card/certificate, plus optional Notes.
  3. Attach a scan or photo of the certificate (JPG, PNG, GIF, WebP, or PDF) — files upload automatically.
  4. Click Submit for Review.
  5. A training manager verifies the submission in the admin Pending Approvals queue; you'll receive an email once it's approved. If you chose "Other," the manager may also need to create that certification definition before approving.

3. Admin Side: Training Management

Navigate via Administration Menu → Website Management → Training Center, or directly to /apps/member/manage/training/. Requires training-manager/admin permissions.

The Training Management home page is the control center, with summary cards for each module plus quick links to Compliance Dashboard, Settings, User Activity Log, Administrative Log, and Member Records.

3.1 Training Settings (trainingSettings.cfm)

Department-wide configuration that drives the Compliance Dashboard and certification reminder emails:

Setting

Purpose

Annual Training Hours Target

Hours each member is expected to complete per calendar year (0 = no target)

First / Second / Final Expiry Reminder

Days before a certification expires that reminder emails go out (0 = disabled). The second and final reminders also copy all training managers.

Reminders Last Ran

Read-only timestamp of the last nightly reminder job

Click Save Settings to apply changes.

3.2 Compliance Dashboard (compliance.cfm)

A live view of department-wide training compliance for the current year:

  • Counts of members who are Target Met (green), Behind Pace (yellow, behind the year-to-date pace), and At Risk (red, well behind pace)
  • Department Hours YTD total
  • A per-member table: Hours YTD, progress bar toward target, presentations/quizzes completed, and counts of expired / soon-to-expire certifications, with a Detail link to each member's full record
  • Export to Excel / Export to PDF

3.3 Managing Presentations

All Presentations (presAll.cfm) lists every presentation with slide count, completion count, and a row action menu: View Detail, Edit Settings, Take Offline (hide from members without deleting), Delete. Views: By Presentation or By Member, with search and column sorting; export to Excel/PDF.

New Presentation / Edit Presentation (presentationAdd.cfm) — General settings:

  • Title and rich-text Description
  • Training Hours Credit — hours awarded toward the annual target on completion
  • Display Order — position in member-facing lists
  • Status — Online (visible to members) or Offline (hidden)
  • Featured (Sticky) — pins it to the top of member lists
  • PDF Certificate — offer a downloadable completion certificate
  • Email Completion — notify the member and/or training managers when completed
  • Access Restrictions — optionally restrict the presentation to specific checked members (default: all members), and/or restrict viewing to a list of Allowed IP Addresses (one per line; trailing * matches a range, e.g. 192.168.1.*); members can always open the start page, but can only play the slideshow from an allowed address if restricted
  • Title Page Image — optional cover image, replaceable or removable

Presentation Detail (presentationView.cfm) — shown after saving — lists all slides (preview, type, source URL/file, caption, order) with per-slide Edit/Delete, a New Slide button, and a Send E-Alert button to notify members. Drag rows to reorder, then click Update.

New Slide (slideAdd.cfm) — Slide Type options:

  • Image — upload a photo (auto-uploads)
  • Embed URL — paste a link (e.g., a YouTube video)
  • PDF — embedded as one slide members read in place
  • PowerPoint — shown as a single page-through slide, or exploded so every deck page becomes its own slide (decks using standard fonts like Arial/Calibri convert most faithfully, since pages are rendered server-side)

Each slide also has a Caption and Display Order. Use Save and New to keep adding slides, or Save and Close to return to the presentation detail.

3.4 Managing Quizzes

All Quizzes (quizAll.cfm) lists every quiz with question count, attempt count, and the same row actions as presentations (View Detail, Edit Settings, Take Offline, Delete). By Quiz / By Member views, search, sorting, export.

New Quiz / Edit Quiz (quizAdd.cfm) has two tabs:

General tab:

  • Title, rich-text Description
  • Training Hours Credit — awarded when a member passes
  • Display Order, Status (Online/Offline), Featured (Sticky)
  • PDF Certificate on passing
  • Access Restrictions — same member-checkbox and IP-address restriction model as presentations
  • Title Page Image

Quiz Settings tab:

  • Graded — Yes (score/pass-fail tracked) or No (informational only)
  • Passing Score (%)
  • Time Limit (minutes) — 0 = unlimited
  • Max Attempts — 0 = unlimited
  • Randomize Questions — ask in display order, or shuffle per attempt
  • Show Results to Member — show the answer after each question, show all answers at completion, or show score only
  • Email Results — to the member and/or training managers

Quiz Detail (quizView.cfm) lists all questions (text, type, points, order) with per-question Edit/Delete, a New Question button, and Send E-Alert. Drag to reorder, then Update.

New Question (questionAdd.cfm) — Question Type options:

  • Multiple Choice (select one)
  • Multiple Response (select two or more)
  • True/False
  • Short Answer (graded manually by a training manager)
  • Matching (match answers to a numbered image)

For choice-based types, add answer rows with a Label, the Answer Choice text, and a Correct? checkbox — add as many rows as needed (blank rows are ignored). Set Points and Display Order. A Photos tab supports attaching images to the question. Use Save and New or Save and Close.

Grading Queue (gradingQueue.cfm) lists quiz attempts containing unscored Short Answer responses, oldest first. Click Grade to open an attempt and score it; the member's final score updates once grades are saved.

3.5 Managing Certifications

All Certifications (certAll.cfm) lists every certification type with its expiration frequency, member count, and counts expiring soon / expired. Row actions: View/Assign, Edit. By Certification / By Member views, search, sort, export.

New Certification / Edit Certification (certAdd.cfm):

  • Certification Name, Status (Online/Offline)
  • Expiration Frequency — in months (0 = never expires, e.g. 24 = renews every 2 years)
  • Description
  • When editing an existing certification, a table of members currently holding it is shown below, each with a row action to update their dates/status

Certification Detail (certView.cfm) shows the certification's settings and every member who holds it, with an Assign Member button and an Edit Certification button.

Assign to Member (certMemberAdd.cfm):

  • Type-ahead Member picker, or check Assign to ALL active members at once
  • Status — Active, Expiring Soon, or Expired
  • Issue Date, Expiry Date (blank if it never expires), Cert Number, Notes

Pending Approvals (pendingCerts.cfm) lists certifications members submitted for review via Add Certification on their own side. Click Review to open the record — the member's uploaded certificate file(s) appear for verification, and one click approves it. If a member chose "Other (not listed)," the submission created a new certification definition that is still Offline; after verifying it's legitimate, approve the record and also set that new certification type Online so it appears normally going forward.

3.6 Logs and Records

  • User Activity Log (logUser.cfm) — every member training action: presentation/quiz starts and completions, and certification submissions. Filterable by type (All / Presentations / Quizzes / Certifications), exportable.
  • Administrative Log (logAdmin.cfm) — every create, update, delete, and status change made by training managers in this module, with who made each change. (Simply viewing or browsing records is not logged here — only changes are.)
  • Member Records (memberRecords.cfm) — one row per member summarizing presentations/quizzes/certifications completed, with View Record opening that member's full transcript (same layout as the member's own My Record, exportable to Excel/PDF).
